FACILITY DESCRIPTION

The reservation includes use of the downstairs of the Building, the side patio outside of the french doors, and optionally the waterside deck.  Ten (10) parking spaces are associated with this property; however, they are public parking and available on a first-come, first-serve basis.

As owner of the Eddon Boat Park, the city retains ownership and lessor responsibilities to include oversight of all physical conditions, agreements, and responsibilities.

RESERVATIONS

This facility is available for public and private use and can be reserved throughout the year on a first-come, first-served basis. To ensure equitable access to all, Boatyard House reservations are limited to four uses within an eight-week period.

Boatyard House capacity is limited to 30 people.

Reservations are made on a first-come, first-serve basis only and can be made through gigharborboatshop.org/boatyardhouse.  Reservations are opened on a revolving quarterly basis and are available one quarter ahead of the current quarter.

If completed rental agreement and fees are not received within 48 hours of the initial booking, the Applicant’s reservation and date(s) will be released and made available for new bookings.

RENTAL FEES

Rental rate is $50/hour with a two hour minimum.  Full day rental of the facility (12 hours: 8am-8pm)  is discounted to $500.

Rental fees are quoted at a minimum of 2-hour reservation.  Application and any other required information must be submitted and 100% of the rental fee paid within 48 hours, to bind and hold the event date.  Rental fees are approved by the Gig Harbor City Council and subject to change.

The signatory of the rental agreement will be considered the responsible party in case of damage, theft, or disturbances during the event.  The Gig Harbor BoatShop reserves the right to collect costs from the lessee for repairs and/or replacement or damages.  Such charges will be deducted from the damage deposit.  Damages exceeding the amount of the deposit are the lessee’s responsibility.

CONDITIONS FOR USE

  • Applicant must be at least 21 years of age.

  • Abusive use of the facilities, equipment and/or amenities is prohibited.

  • In the event that facility staff can not be present, applicant is required to close and lock all windows and doors prior to vacating the facility after event concludes. Applicant will be responsible for damage, theft, vandalism, or other activities if the facility is left open or unlocked.

  • Applicants will be held liable for the actions of everyone attending their event; attendees may not jeopardize, harass, physicaly abuse or interfere with the rights and privileges of others.

  • Tables and chairs are intended for use inside the buildings only; prior approval is required to use tables and chairs outside of the building. After the event, tables and chairs are stacked and stored in their designated area.

  • Applicant is responsible for the set-up and dismantling of tables, chairs, decorations, or any items related to their function.

  • Applicant is responsible for cleaning up after their event. This may include, but is not limited to, sweeping, mopping, cleaning up spills, and the return of facility equipment to its original location.

  • Applicant is responsible for collection and disposal of trash, recycle, and any other waste materials.

  • Neither the City nor Gig Harbor BoatShop will be held legally or financially responsible for consequences experienced by Applicant or guests due to circumstances beyond the City’s control. Circumstances include, but are not limited to, inclement weather, natural disasters and naturally-occurring health hazards. In such circumstances, the event may be rescheduled (pending availability) or fees and deposits may be refunded.

  • Smoking and vaping is prohibited anywhere within Eddon Boat Park, which includes all parts of the rental facility.

  • Fireworks of any kind are prohibited.

  • Animals are not permitted inside the rental facility unless otherwise allowed by law.

  • Applicant and guests shall vacate the facility by the time indicated on the reservation as another reservation may begin at that time.

  • Reservation fee includes the facility only; it does not entitle the Applicant to exclusive use of any other public areas. Reserving or sectioning off other areas of the park, lawns or beach is prohibited.

  • The restrooms for the facility are available for use but are not exclusive and will remain available to other park users and the general public.

  • Failure to return the keys, clean the facility or any damage to the property may result in reduction or forfeiture of damage/maintenance deposit and possible claim against the Applicant’s insurance.

  • Throwing rice, birdseed, rose petals, confetti, etc. inside or outside the facility is not permitted.

  • No decorations of any kind may be hung from the ceilings or walls.

  • The use of candles, fog/smoke machines or any other open flames is strictly prohibited anywhere inside or outside the facility.

SPECIAL PERMITS AND LICENSES

A City of Gig Harbor Special Event Permit may be required; it is incumbent upon the applicant to get any and all necessary permits prior to the event.  More information on Special Even Permits can be found on the Gig Harbor city website: cityofgigharbor.net/153/Special-Event-Permits

(A City of Gig Harbor Special Event Permit is required for all events with more than 30 people. Additionally, if an event includes the need for tents, amplified sound, stages, generators, vendor booths, involves public promotion of event or collection of money, a special event permit is required. Additionally, any activity that impacts regular traffic circulation and park operations will require a special event permit. The city administrator or their designee has authority to determine when a permit is required.)

PROVIDED ITEMS

Chairs (30), tables (3), two (2) microwaves, refrigerator, two (2) coffee makers, tea kettle, trash liners, and general cleaning supplies. A/V: 65” TV with one HDMI cable  is available on request

PAYMENT METHOD

If a payment is returned for Non-Sufficient Funds (NSF), the reservation will be placed on hold for non-compliance until all applicable fees (rental fee, deposit and NSF charge) are paid in cash.  NSF payments must be made within 5 calendar days of notification or reservation will be canceled outright.  

DAMAGE DEPOSITS

Damage deposits are collected as a $250 credit card hold, which will be held the day prior to your reservation.  Damage deposit holds will be released within 5 working days after your event, on the condition the rented facility and/or equipment was left in satisfactory condition.

Any cleaning that is required after the event will be billed at the present hourly fee and deducted from the deposit.

CANCELLATION FEE

Cancellations less than 72 hours before the event will result in forfeiture of 75% of the rental fee. Cancellations within 15 days of the event will result in forfeiture of 50% of rental fee.  Full refunds will be provided to any cancellation that is requested more than 15 days from the date of the event.

PARKING

Parking is available at no charge on a first come first serve basis at the Eddon Boatyard designated parking spots.  There are additional on-street public parking spaces nearby on Harborview Drive and Stinson Avenue.

ALCOHOL

For a private gathering or event:

A Banquet Permit is not required when all of the following apply:

  1. The event is hosted by an individual, not an organization or business entity

  2. Guests are not charged for admission or anything provided at the function (e.g. ice, cups, setup, food, hors d’oeuvres, etc.)

  3. "Charge" includes donations, dues, fees, or otherwise

  4. The event would normally be held in the individual’s private home, but is so large that a separate facility is needed to accommodate the event

  5. The facility where the event is held is closed to the general public during the event and does not have a liquor license

  6. There is no business purpose for the event or any financial gain
     

For a gathering being hosted by a Business or Non-Profit Organization:

Alcohol consumption on the premise requires a Banquet Permit issued by the Washington State Liquor and Cannabis Board. A Banquet permit Allows the service and consumption of liquor at a private, invitation-only banquet or gathering held in a public place or business. Banquet Permits are available online. Examples include weddings, company banquets, retirement parties, or club, organization or church events.

STAFF CONTACT DETAILS

Gig Harbor BoatShop staff will be available during all scheduled events.  Contact info for on-duty staff will be posted next to the front door at the beginning of the rental period. 

DECK USE

The deck of the boatyard house is open to the public daily and will remain so unless otherwise specified upon booking. If you want exclusive use please answer “yes” to the booking question “Do you want exclusive use of the deck?” and we will rope off the deck to the public for the duration of your rental.

RESTROOMS

Restrooms are attached to the Boatyard House and are accessed from the exterior at the base of the driveway. The restrooms for the facility are available for use but are not exclusive and will remain available to other park users and the general public.

CLEANING

Immediately following the event, the facility must be returned to its pre-rental condition.

  • Cleaning supplies are in the two closets in the hallway.

  • Tables and chairs shall be put away according to instructions on the inside of the storage closet.

  • Floors shall be vacuumed and/or swept and mopped. (DO NOT MOP THE HARDWOOD FLOOR)

  • The kitchen shall be left in its original condition. Microwave must be cleaned, counters wiped, sink cleaned, floor swept and mopped. Check that all food waste has been cleaned out of the refrigerator and freezer.

  • Check deck for refuse.

  • Check window sills for spillage and clean as required.

  • Clean finger prints from windows.

  • All garbage is to be removed from the premises; otherwise a $75.00 fee will be charged.

  • All items brought into the facility are to be removed by the end of the rental period.

HOLD HARMLESS/INDEMNIFICATION

Lessee agrees to hold Gig Harbor BoatShop and their directors, staff and volunteers, as well as the City, its officers, members and agents harmless against all loss or damages to any persons or property during the period of Lessee’s possession of the facilities. If any claim is made against Lessor or manager for any act or reason during the period of Lessee’s possession of the facilities, Lessee agrees to indemnify, defend and bear all responsibility for any amounts Lessor or manager may pay and any costs related thereto, without limitation.

FORCE MAJEURE

Lessor shall not be liable hereunder by reason of any failure or delay in the performance of its obligations hereunder due to strikes, riots, insurrection, fires, flood, storm, explosions, acts of God, war, governmental action, labor conditions, earthquakes, or any other causes that are beyond the reasonable control of Lessor. 

I agree that Gig Harbor BoatShop staff and law enforcement may conduct inspections and review of the premises during the rental period.

I HAVE READ THE ABOVE AGREEMENT IN ITS ENTIRETY AND BY SIGNING BELOW CONFIRM MY UNDERSTANDING OF THE POLICIES, PROCEDURES, AND RULES AND REGULATIONS REQUIRED FOR FACILITY RENTAL.
